Would you like to receive reports by email at a predetermined frequency?
With the help of the Hector’s online asset management application, you can receive your reports by email thanks to the subscription feature.
This guide will show you the steps you need to take to achieve this.
Prerequisites
- Your role must allow you access to the Reports section.
- Your role must also grant you permission to subscribe to reports.
1. Schedule a report
- In the left-hand menu, click on the icon corresponding to reports.
- Then select the report you are interested in and click on it.
- Click on the icon with a paper and a clock on top
- This will open a page that allows you to configure the settings according to your needs.


2. Send settings
- You can give your subscription a name and add a description (if needed).
- Report Content
- If you applied filters before scheduling the report, you can reuse them when sending it, or obtain a version with all the data.
- You can also select the fields to be included.
- Configuration
- This section allows you to define the subject and body of the email you will receive.
- Choose the format of the file you will receive, either Excel or PDF.
- Determine the frequency of sending, either daily, weekly, monthly, or other.
- Select the start date for sending. For example, this allows you to send a report every Friday if the frequency is weekly and the start date is a Friday.
- Finally, choose the end date, or leave it blank if you want to receive the report without an end date.
- Recipients
- By default, you will be the sole recipient of the report, but you can configure groups or departments according to your needs.
- Please note that if you add additional recipients, the report will filter the data they receive based on their role and permissions.
Once you are finished, you can save the subscription.




3. Report subscription
You can check and modify your subscriptions by navigating to the home page in your workspace. Simply consult the list, or click on “See more” for additional options. From the table, you will be able to perform the following actions:
- See the report
- Modify the report subscription
- Deactivate the report subscription
- Delete the report subscription
Once you have subscribed, you can change the options according to your needs.



You can also modify a report subscription by following the steps in section 1. This will bring up a slightly different display, allowing you to create a new subscription for the same report or modify the existing subscription.
