With Hector, it is possible to import your data (inventory, users, locations, etc.) with an Excel spreadsheet. Here’s more information to help you get startted.
If you are an administrator and have access to the settings section, you can use Excel spreadsheets to import data into Hector. For this step, you need Microsoft Office with Excel, or a stand-alone copy of Excel, to download the import files and populate them with your data.
Templates to use
Importing inventory data can be used to add new items, but not to update existing ones in your database. You must use the suggested templates, as they contain the information Hector needs to carry out the import.
- In Hector, go to “Settings – Import data”.
- Then click on “Inventory”, and download the template.

Data import takes place automatically every 5 minutes on files that have been queued.
Difficulty level: Between 3 and 6 out of 10, depending on your experience of data management in Excel and Hector’s terminology.

Steps to follow
To optimize your import, here’s the order to follow:
- Create your attributes
- Attributes are customizable fields that can be added to the software. You can enter them in the import file at the end of the table, using the “A|Attribute” format. Replace “Attribute” with the name of your custom field. You must create your attributes in the software before importing your inventory.
- Add your users
- It is important to first create your users in Hector before importing inventory if equipment is assigned to employees. You can enter the employee’s email address in the “AssetUser” column to assign equipment to the right person.
- Add your inventory into our template file
- Drag and drop the file (once it has been completed) into the drop zone.

- Click on “Actions”, then on “Start import”. You will receive an email once the import is complete. If your file contains any errors, you will also receive an e-mail with the errors in question.
- To delete imported data, you can click on the “Revert” button. This will allow you to make changes to your file and import it again.
